Infersoft Inc. ("Infersoft", "we", "us", or "our") is an AI document-intelligence platform that helps oil & gas operators and related businesses extract structured data and insights from complex documents. We respect your privacy and are committed to protecting information that relates to an identifiable individual ("Personal Data"). This Privacy Policy explains how we collect, use, share, and protect Personal Data, and how you can exercise your rights under applicable privacy and data-protection laws.

This Privacy Policy is separate from our commercial agreements and data-processing agreements with customers. Where those agreements apply, they will govern in case of conflict.

1. Applicability of this Privacy Policy

This Privacy Policy describes how Infersoft processes Personal Data in the following contexts:

  • Websites – our websites, such as www.infersoft.com and any other sites we operate that link to this Privacy Policy (collectively, the "Website").
  • Platform & Services – our cloud-based document processing platform, APIs, and related services (the "Services").
  • Other interactions – when you communicate with us, attend our events, or otherwise interact with Infersoft in a business context.

Infersoft's Services are offered to business customers (our "Customers") for professional use. In the course of providing the Services, our Customers may upload or connect documents and data sets that contain Personal Data ("Customer Data"). For Customer Data, Infersoft acts as a data processor (or "service provider" / "processor" under applicable laws) and processes Customer Data solely on behalf of our Customers and in accordance with our contracts and data-processing agreements with them. Our Customers act as data controllers (or equivalent) for Customer Data and are responsible for the legality of that data and for responding to data-subject requests relating to it.

This Privacy Policy applies where Infersoft acts as a data controller, such as for account and profile data of users who interact directly with Infersoft, website visitors and marketing contacts, and business contacts at customers, prospects, partners, and vendors. If you are an end user of a Customer's Infersoft deployment, please refer to that Customer's privacy notice for details about their handling of your Personal Data.

2. Personal Data We Collect and Process

We collect Personal Data in various ways, including directly from you, automatically from your devices, from our Customers, and from third parties.

2.1 Information You Provide Directly

Account and Profile Information:

When you or your employer creates an account or otherwise registers to use the Services, we may collect your name, business contact details (such as work email address and phone number), company name, role and business unit, login credentials and authentication information, payment information, and your communication and language preferences.

Workspace and Configuration Information:

To configure and operate the Services, we may collect organization and workspace settings, system integration details (such as connected land systems, document repositories, and third-party applications), as well as project names, tags, and configuration metadata.

Communication Information:

When you contact us (for example for support, sales inquiries, or feedback) we collect your name and contact details, the content of the communication, and associated information related to your request or our response.

Event and Marketing Information:

If you register for an event, webinar, or download content, we may collect registration details such as your name, email address, company, role, and your stated interests or preferences.

2.2 Information We Collect Automatically

Log Data:

When you visit our Website or use the Services, we automatically collect log information such as your IP address, browser type and settings, device information, the date and time of your request, pages viewed, links clicked, and referring/exit pages.

Usage Data:

We collect metadata about how you and your organization use the Services, such as features and modules accessed, the frequency and duration of use, the volume and types of operations performed (for example number of documents processed), and performance metrics and error logs.

Cookies and Similar Technologies:

We use cookies, web beacons, and similar technologies to remember your settings and preferences, authenticate users, maintain sessions, measure Website and product usage, and support marketing on the Website. You can manage cookies through your browser settings or via the controls we present on the Website.

Device Information:

We collect information about the device you use to access the Services, such as device type, operating system, device identifiers, browser type and version, and network information.

2.3 Information We Receive from Other Sources

We may receive Personal Data from our Customers, security and fraud-prevention partners, marketing and sales partners, and event organizers (such as trade shows and industry conferences). We may also use publicly available business information to help identify and serve potential Customers and to enrich business-contact records.

3. Customer Data (Customer Documents and Content)

Customer Data is at the core of Infersoft's Services. This includes documents and related data that Customers upload, connect, or otherwise make available to Infersoft for processing, such as leases, title documents, division orders, production statements, and other records used in the oil & gas industry.

Unless expressly agreed otherwise in writing:

  • Customers retain all right, title, and interest in and to Customer Data. Infersoft does not claim ownership of Customer Data and uses it only to provide the Services in accordance with the applicable contract and Customer instructions.
  • We process Customer Data solely to deliver our document-intelligence and related services, such as splitting, classifying, extracting information, generating structured outputs, and facilitating workflows. We do not use Customer Data to train or improve general-purpose models that are made available to other customers.
  • By default, Infersoft does not retain uploaded Customer Data beyond what is necessary to complete the processing session and deliver exportable results. Temporary files and processing artifacts are routinely deleted.
  • Customers may choose to save projects or workspaces that contain Customer Data and outputs within the platform. In that case, Infersoft stores that Customer Data on behalf of the Customer for as long as the Customer's account and project remain active, subject to our contract and this Privacy Policy.
  • Access to Customer Data is restricted to authorized Infersoft personnel who require it to operate, support, secure, or improve the Services for that Customer. All personnel with access are bound by confidentiality obligations.
  • We do not sell Customer Data. We do not share Customer Data with third parties except to our subprocessors and service providers that support the Services under data-protection terms, as instructed by the Customer (including via integrations), or as required by law.

4. How We Use Personal Data (Controller Context)

Where Infersoft acts as a data controller, we use Personal Data for the following purposes:

  • To provide and maintain the Services, including creating and managing accounts and workspaces, providing customer support, enabling integrations, and operating the Website and platform.
  • To secure the Services and prevent misuse, including monitoring access, detecting, investigating and preventing security incidents, fraud, and abuse, and enforcing our contracts and acceptable-use terms.
  • To improve and develop the Services, including analyzing usage patterns to improve performance, reliability, and usability, and developing new features and workflows.
  • To communicate with you, including sending service-related notices (such as updates, security alerts, and billing information) and responding to your questions, support tickets, and feedback.
  • To send marketing communications about Infersoft products and events where permitted by law (you can opt out of marketing at any time).
  • To comply with legal obligations and protect rights, including complying with record-keeping, tax, and audit requirements, responding to lawful requests from authorities, and protecting our rights, safety, and property, as well as those of our Customers and others.

Aggregated and De-identified Data

We may aggregate or de-identify Personal Data so that it cannot reasonably be used to identify any individual. We may use such data for service improvement and analytics, industry research and benchmarking, security and capacity planning, and publishing insights about platform usage in a way that does not identify individuals or Customers. We do not attempt to re-identify de-identified or aggregated data except as required by law.

5. How We Share Personal Data

We may share Personal Data with the following categories of recipients, in each case only as necessary and subject to appropriate protections:

  • Affiliates – Infersoft's corporate affiliates may access Personal Data for purposes aligned with this Privacy Policy, including operations, support, security, and business administration.
  • Service Providers (Subprocessors) – third-party vendors that help us deliver the Services and operate our business (for example cloud hosting, data storage, logging and monitoring, authentication, analytics, communications, and professional services). These providers are authorized to process Personal Data only as necessary to perform services for us and are subject to confidentiality and data-protection obligations.
  • Integrations and Third-Party Applications – at a Customer's direction, Infersoft may connect to third-party systems (for example document repositories, land systems, and accounting systems). The third party's own terms and privacy policies govern any data exchange with that provider.
  • Business Transfers – if Infersoft is involved in a merger, acquisition, financing, reorganization, or sale of assets, Personal Data may be shared or transferred as part of that transaction, subject to standard confidentiality protections. Where required by law, we will notify you of any material change in ownership or use of your Personal Data.
  • Professional Advisors, Authorities, and Other Third Parties – we may share Personal Data with legal, tax, audit, or other professional advisors, regulators, and government authorities where necessary to comply with applicable law or legal process, respond to valid legal requests, protect the rights, privacy, safety, or property of Infersoft, our Customers, or others, or enforce our contracts or policies.

We do not sell Personal Data, and we do not share Personal Data with third parties for their own direct marketing purposes.

6. How We Keep Personal Data Secure

We use technical and organizational measures designed to protect Personal Data against unauthorized access, loss, misuse, or alteration, taking into account the nature of the data and the risks of processing. These measures include, among others, encryption of data in transit and at rest, role-based access controls and least-privilege access policies, network and infrastructure security controls, regular security monitoring, logging, and alerting, employee and contractor confidentiality obligations and security training, and periodic security reviews and improvements.

No system can be guaranteed to be 100% secure. However, we work continuously to enhance our security posture and to promptly address identified issues.

7. International Data Transfers

Infersoft is headquartered in the United States, and we may process Personal Data in the United States and in other countries where we or our service providers operate. These countries may have data-protection laws that differ from those in your jurisdiction.

Where required by law, we implement appropriate safeguards for such transfers, which may include relying on adequacy decisions where available, entering into Standard Contractual Clauses or similar data-transfer agreements with recipients, and implementing additional technical and organizational measures to protect Personal Data. Details of the specific transfer mechanisms we rely on can be provided upon request.

8. Data Retention

We retain Personal Data for as long as necessary for the purposes described in this Privacy Policy, including to comply with our legal obligations, resolve disputes, and enforce our agreements.

  • Customer Data (documents and content) is retained according to our contracts and data-processing terms with the relevant Customer. Uploads used only for ad-hoc processing are not retained beyond the processing session, subject to short-term caching and backups. Where Customers choose to store documents and outputs within Infersoft, we retain them for the duration of the Customer relationship (or until the Customer instructs deletion).
  • Account, billing, and contract data is generally retained for the duration of the Customer relationship and for a commercially reasonable period thereafter for legal, tax, and audit purposes.
  • Marketing and business-contact data is retained while we have an ongoing business relationship or potential business relationship with you, or until you opt out of marketing or ask us to delete your information (unless a longer retention period is required by law).

When we no longer need Personal Data for the purposes for which it was collected and we are not legally required to retain it, we will delete or anonymize it. If deletion is not feasible (for example, because it is stored in backup archives), we will securely store the Personal Data and isolate it from any further processing until deletion is possible.

9. Children's Data

Our Website and Services are not directed to children under the age of 18, and we do not knowingly collect Personal Data from anyone under 18. If you believe that a minor has provided Personal Data to Infersoft, please contact us at privacy@infersoft.com and we will take appropriate steps to delete that information as required by law.

10. Your Privacy Rights

Depending on your location and applicable law, you may have some or all of the following rights regarding your Personal Data:

  • Access – to confirm whether we process your Personal Data and to request a copy.
  • Correction – to request that we correct or update inaccurate or incomplete Personal Data.
  • Deletion – to request that we delete your Personal Data, subject to certain exceptions.
  • Restriction – to request that we restrict the processing of your Personal Data in certain circumstances.
  • Portability – to receive a copy of your Personal Data in a structured, commonly used, and machine-readable format and to request that we transmit it to another controller where technically feasible.
  • Objection – to object to processing of your Personal Data where we rely on legitimate interests, including for direct marketing.
  • Marketing Opt-Out – you can opt out of marketing emails at any time by clicking the "unsubscribe" link in those emails or by contacting us. We may still send you non-promotional communications, such as service or account notices.
  • Withdrawal of Consent – where we rely on consent, you may withdraw it at any time without affecting the lawfulness of processing before withdrawal.
  • Right to complain – you may lodge a complaint with a data-protection authority or other regulator in your jurisdiction.

If you are a user of Infersoft's Services through your employer, some requests (especially those relating to Customer Data) may need to be directed to your organization as the controller. We will notify you if that is the case.

11. Additional Information for U.S. Residents (Including California)

If you reside in certain U.S. states (such as California, Colorado, Virginia, or others with similar laws), you may have specific rights regarding your personal information under state privacy laws. These may include the right to know/access the categories and specific pieces of personal information we collect, use, and disclose; the right to request deletion or correction of certain personal information; the right to opt out of the "sale" or "sharing" of personal information (as those terms are defined by applicable law); the right to limit the use of sensitive personal information (if applicable); and the right not to be discriminated against for exercising these rights.

Infersoft does not sell personal information for money. We may use cookies and similar technologies on our Website that could be considered a "sale" or "sharing" for targeted advertising under some state laws. Where required, we will offer state-specific mechanisms (for example "Do Not Sell or Share My Personal Information" or "My Privacy Choices") to exercise your rights.
